Actionable Cold Email Tip
Cold email deliverability can get complex. In 2025, most B2B companies rely on Gmail or Outlook. Both email service providers have tightened their spam compliance.
If you’re even remotely aware of cold email outreach, then you’ll know if your emails land in spam, your results and ROI drop off a cliff.
There are a lot of fancy tactics, intent based workflows, and AI generated first lines that get most of the attention on social.
I’m not knocking the viral workflows because they can get great results... that is if you can stay in the inbox.
So as always, lock down your fundamentals and then get cute with fancy workflows.
And in cold email fundamentals means doing everything right in terms of deliverability.
So, to give you a clear understanding of what we’re doing today to make sure we stay in the inbox and out of spam I put together a 2025 deliverability checklist.
Use this as you setup your infrastructure and manage your campaigns to get consistent results, no matter the new viral playbook of the week.
Here it is….
Domain & Authentication Setup
Purchase a lookalike domain for cold emailing (e.g., "try[yourdomain]", "buy[yourdomain]")
Set up authentication records (DMARC, SPF & DKIM) on all domains
Forward your new domain to your primary website
Create dedicated email addresses on your cold email domain
Email Warmup & Reputation
Warm up new email accounts (15 emails/day at 35% reply rate for 2-3 weeks)
Use a custom tracking domain to white-label tracking pixels
Verify emails before sending to prevent bounces that harm your reputation
Slowly ramp up volume (start with 5/day, increase by 5/day each week)
Space out sending (minimum 10 minutes between emails)
Email Content & Structure
Optimize your signature (keep it simple with minimal links)
Include a clear unsubscribe link to prevent spam reports
Check for spam trigger words using a spam word checker
Implement Spintax for subtle email variations
Send text-only emails without any rich-text
Update email templates monthly to avoid repetition flags
Sending Strategy
Limit to 15 emails per day per email address
Keep email sequences short (avoid lengthy follow-up sequences)
Add profile pictures to email accounts to improve open/reply rates
Focus on quality messaging that prospects would want to respond to
Email Content Checklist
Would I read this entire email if I received it?
Is there a point where I might stop reading or get confused?
How is this email different from others the prospect receives?
Does this provide value or just add to inbox clutter?
