How to Get 80% of Your Leads to Actually Show Up

You spent time and money getting leads. Now you need them to show up to sales calls. Here's how to get 80% show-up rates.

The Big Problem

Most businesses lose qualified leads because they don't have a system to get people to their sales calls. Even great leads slip through the cracks without the right process.

Step 1: Qualify Your Leads Fast

Not every lead is worth your time. Here's how to filter them:

• Use Clay to set up automatic lead scoring

• Score leads 1-10 (anything under 5 gets filtered out)

• Set up Slack notifications when qualified leads come in

• Respond within 5 minutes (this is massively important!)

Why 5 minutes matters: You get 400x better conversion rates versus waiting an hour or more.

Step 2: Handle Replies the Right Way

When someone replies to your outreach:

• Answer their question directly - Don't dodge pricing or other questions

• Give them two time options - "Today between 11-2 or tomorrow 9-11"

• Include your calendar link - Make booking easy

• Push for the next step - Always be clear about what happens next

Example: "Our pricing ranges from $X to $Y. To give you an exact quote, let's hop on a quick call. What works better - today between 11-2 or tomorrow 9-11? Here's my calendar link if those don't work."

Step 3: Automate Your Booking Process

Use Calendly or similar tools to:

Prevent back-and-forth scheduling

Send automatic reminders (24 hours, 3 hours, 30 minutes before)

Include Zoom links and clear instructions

Step 4: The 72-Hour Pre-Sell

After they book, send 3 emails over 72 hours:

Case study - Show results you've gotten for others

Client success story - More social proof

FAQ answers - Handle common objections

This turns your sales call into an "order-taking" call because they already trust you.
