Actionable Cold Email Tip

A winning cold email campaign is only half the battle.

If you haven't solved your appointment setting process you're gonna have a bad time.

There is no point in optimizing for volume when you're a leaky bucket.

Instead, dial in your appointment setting process, then scale it up.

I’ve honed my appointment setting process over the last 4 years to book more than 1,000 meetings.

Here are 5 key steps to create an appointment setting process that turns lukewarm prospects into ready to buy opportunities who can’t wait to pay you for your services.

  1. Create an offer document and video sales letter or loom to share along with the doc. This will give your prospect everything they need to know about your offer. Remember this needs to be good and provide some value. Call out their pains, what they’ve tried and what they’re trying to achieve. Then give them social proof and your track record. Break down your process to get results. Show them why and how it works. I even like to give my price. The benefit of showing price upfront along with substantiated value helps self qualify and disqualify leads. Since I started sharing an offer doc, my call quality has gone way up and I’m closing more new deals at higher prices than ever before.

  2. Reply to all interested leads within 5 minutes. Setup a Slack notification in Make or Zapier to get automatic notifications any time a lead is tagged interested in your Smartlead. Replying within 5 minutes can help increase conversions by 21x. Strike while the iron is hot.

  3. Follow up with all unconverted leads with subsequences in Smartlead. Most people will not convert immediately. They get busy, their dog distracts them, they have to go to the dentist, or 1 million other things could happen between their reply and yours. We have a standard follow up flow to mitigate this distraction risk. We send 3 standard scripted follow ups depending on the prospect’s reply. This can be automated via subsequences or done manually. Staying front of mind is super important since we’ve seen 69% of our meeting bookings convert via follow up.

  4. Schedule out (or get your inbox manager to schedule) 2, 15 minute blocks per day for lead nurture. Ideally, this is the first 15 minutes and the last 15 minutes per day. Literally put this on your calendar every single working day. Contact anyone who hasn’t yet been contacted this week with new content, new lead magnets or offers. Keep organized with a CRM like Close, then nobody slips through the cracks.

  5. Determine clear qualification criteria and create 3 prospect quality tiers depending on their. Think company size, revenue, persona based, industry or other specific trigger events for your scoring criteria. Tier one prospects are the best fit leads and those you’d be willing to spend extra time on. This means creating custom loom videos and doing free work. Lower tier prospects get less personalized attention, but still get consistent follow up. This maximizes your lead flow while maximizing your profit per customer.

If you can do these 5 things, you’ll have an appointment setting process better than 99% of the market.
